This policy is published in accordance with the Information Technology Act, 2000 and the rules made under it, and the Digital Personal Data Protection Act, 2023. By using our website or placing an order with us, you consent to the practices described here.

2. Information We Collect
Information You Give Us
- Identity and contact details — name, email address, mobile number, WhatsApp number.
- Order and delivery details — billing address, shipping address, PIN code, landmark, alternate contact number, order history.
- Account details — login credentials for your account on our website, saved addresses, wishlist.
- Business details, where you buy as a business — firm name, GSTIN and billing details for a GST invoice.
- Service and spare-parts requests — invoice or order number, product model number, serial number, purchase date, description of the issue, and any photographs or videos you send us.
- Claim evidence — unboxing videos, photographs of packaging and products submitted in support of a damage, defect or missing-item claim.
- Communications — messages, emails, WhatsApp chats and call records with our support and sales teams.
- Reviews and content you post on our website or submit to us.
Information Collected Automatically
- Device and browser type, operating system, IP address, approximate location derived from IP.
- Pages viewed, products browsed, search terms, time spent, referring website, and interactions on our site.
- Cookies and similar technologies — see Section 7.
Payment Information
Online payments are processed by our authorised payment gateway. We do not collect or store your full card number, CVV, UPI PIN, net-banking credentials or any other payment authentication data. These are captured directly by the payment provider on their secure systems. We receive only the transaction status, a transaction reference, and limited details such as the payment method and the last four digits of a card, for reconciliation and refunds.
EMI and Finance Applications
Where you choose Bajaj Finance EMI, the finance application is made to and assessed by Bajaj Finance. Documents and identifiers required for that application — such as Aadhaar, date of birth and address proof — are provided by you directly to the Bajaj Finance representative, under Bajaj Finance’s own terms and privacy policy. Vikas Tool Mart does not collect, store or retain your Aadhaar number or KYC documents. We receive only the approval status and reference needed to process your order.
3. How We Use Your Information
- To create and manage your account, and to authenticate you when you log in.
- To process, verify, invoice, pack, dispatch, track and deliver your orders.
- To communicate with you about orders, dispatch, delays, delivery confirmation, cancellations and refunds — by email, SMS, phone and WhatsApp.
- To handle returns, refunds, damage and missing-item claims, including verifying unboxing videos and photographs.
- To provide service support, identify the correct spare parts, and process warranty claims.
- To provide pre-sales guidance on product selection and application.
- To issue GST invoices and meet our tax, accounting and statutory record-keeping obligations.
- To detect, investigate and prevent fraud, payment abuse and misuse of our website.
- To improve our website, product range, content and customer support.
- To send you offers, new-product information and updates, where you have opted in. You can opt out at any time.
4. Legal Basis and Consent
We process your personal data on the basis of the consent you give when you create an account, place an order, or contact us, and for the legitimate uses permitted under applicable law — including performing the contract for your order, meeting our statutory obligations, and preventing fraud.
You may withdraw your consent at any time by writing to online@vikastoolmart.com. Withdrawal takes effect going forward and does not affect processing already carried out. Where the data is necessary to complete an order in progress, to honour a warranty, or to meet a legal obligation, we may need to retain and process it despite the withdrawal.
5. Who We Share Your Information With
We do not sell or rent your personal data. We share it only as needed, and only with:
- Logistics and transport partners — including India Post, Blue Dart, E-Kart, ST Courier, railway parcel services, lorry and transport operators and other courier partners — who receive your name, address, PIN code and contact number to deliver your order.
- Payment gateways and financial partners — including Razorpay and other authorised gateways, and Bajaj Finance where you opt for EMI — to process payments, EMI applications, refunds and chargebacks.
- Our e-commerce platform and IT service providers — including Shopify, which hosts our online store, and providers of hosting, email, messaging, backup and security services.
- Communication providers — email, SMS and WhatsApp Business service providers used to send order and support messages.
- Analytics and advertising partners — such as Google and Meta — which receive website usage and event data through cookies and similar technologies, subject to your cookie choices.
- Service and spare-parts partners, and the manufacturer or its authorised service network, where needed to process a warranty or service claim.
- Professional advisers — accountants, auditors and legal advisers — under confidentiality obligations.
- Government and law-enforcement authorities, where disclosure is required by law, a court order or a valid legal process, or to protect our rights, property or safety, or those of our customers.
- A successor entity, in the event of a merger, acquisition or reorganisation of our business, subject to this policy.
Some of these providers may process or store data on servers located outside India. Where that happens, we take reasonable steps to ensure the data continues to be protected to a comparable standard.
6. Data Retention
We retain your personal data only for as long as needed for the purposes described above.
- Order, invoice and tax records — retained for the period required under GST, income-tax and company-law rules, currently at least 8 years.
- Account data — retained while your account is active, and for a reasonable period after, unless you ask us to delete it.
- Support conversations, claim photographs and unboxing videos — retained while the claim is open and for a reasonable period afterwards for audit and dispute purposes.
- Marketing data — retained until you opt out or withdraw consent.
When data is no longer needed, we delete it or anonymise it so that it can no longer be linked to you.
7. Cookies and Tracking
Our website uses cookies and similar technologies to keep you logged in, remember your cart, understand how the site is used, and — where you allow it — to measure and personalise advertising.

9. Data Security
We apply reasonable technical and organisational security measures to protect your personal data — including encrypted connections (HTTPS) across our website, access controls limiting staff access to what their role requires, secure hosting through our e-commerce platform, and processing of payments through PCI-DSS compliant gateways rather than on our own systems.
No method of transmission or storage is completely secure. While we work to protect your data, we cannot guarantee absolute security. Please keep your account password confidential and tell us immediately if you suspect unauthorised access to your account.
10. Children
Our website and products are intended for adults. Power tools and machinery are not consumer products for children. We do not knowingly collect personal data from anyone under the age of 18. If you believe a child has provided us with personal data, contact us and we will delete it.
11. Third-Party Links
Our website, social media channels and communications may link to third-party websites — including the manufacturer’s site, payment providers, finance partners and courier tracking pages.
